1. Who We Are
Docks of the Bay Services, LLC (“DOTB Services,” “we,” “us”) is a Virginia marine construction and dock maintenance company. This policy describes how we collect, use, and protect information through docksofthebayservices.com and our phone line at (804) 361-5675.
2. Information We Collect
When you contact us through the website, request a quote, or sign up for a maintenance plan, we collect the information you provide directly: your name, email address, property address, phone number, and details about your dock or boat lift. We also collect basic analytics (pages viewed, referring source, device type) to improve the site.
3. How We Use Your Information
- Respond to quote requests and customer inquiries
- Schedule and perform requested services
- Send service reminders, invoices, and follow-up communications
- Send marketing communications if you opt in (you can unsubscribe anytime)
- Improve our website and service offerings
4. Phone Calls & AI Voice Assistants
When you call (804) 361-5675, your call is answered by Sasha, an AI voice assistant that takes messages on behalf of our office manager. We disclose this at the start of every call. Calls are recorded and transcribed for quality assurance, training, message accuracy, and dispute resolution.
By staying on the line after the disclosure, you consent to (a) speaking with an AI assistant and (b) the call being recorded. If you prefer not to be recorded or would rather speak with a person, you may end the call and email us at hello@docksofthebay.com, or request a callback during business hours.
Call recordings and transcripts are stored securely and retained only as long as needed for the purposes above. We do not sell or share recordings with third parties except service providers who help us operate the phone system (such as Retell AI and Twilio), all bound by confidentiality terms.
5. Information Sharing
We do not sell your personal information. We share information only with:
- Subcontractors when needed to perform a service you requested
- Government agencies when required by law (e.g., VMRC permit applications)
- Our affiliate Docks of the Bay Supply Co. when you are matched to a new-member sign-up bonus (see § 5a)
We also use the following service providers to operate the business. Each is bound by data-processing terms and only receives the minimum data needed for its function:
- Stripe — subscription payment processing
- Supabase — database hosting
- Resend — transactional email delivery
- Twilio — SMS messaging (when you opt in)
- Monday.com — job scheduling and customer support workflow
- Retell AI — automated voice phone agent
- Vercel — website hosting and analytics
5a. New-Member Sign-Up Bonus & Cross-Company Data Sharing
If you opted into a New-Member Sign-Up Bonus on a product page at docksofthebaysupply.com and then complete a Maintenance Plan signup with us, we look up your install request (using an opaque bonus-request ID you carry over from Supply or, as a fallback, by matching the email address you used to sign up) and issue you a one-time 30%-off install discount code. To do this, we receive your name, email, phone number, and property address from Docks of the Bay Supply Co. We use this information only to (a) match the bonus, (b) deliver your discount code, and (c) apply the discount when our installer invoices you. We do not use it for marketing.
Docks of the Bay Supply Co. operates under its own Privacy Policy. If you also opted into receiving the code via SMS, that is one-time consent for a single transactional message; it does not add you to any marketing list. Reply STOP at any time. You may request deletion of your bonus-request record at any time by emailing hello@docksofthebay.com — note that doing so before code redemption will void the bonus.
6. Cookies & Analytics
We use cookies and similar technologies to operate the site, remember your preferences, and measure how visitors use the site. You can disable cookies in your browser, though some site features may not work as expected.
7. Your Rights
You may request access to, correction of, or deletion of your personal information at any time by contacting us at hello@docksofthebay.com.
7a. Virginia Residents (VCDPA)
Under the Virginia Consumer Data Protection Act, Virginia residents have the right to confirm processing of and access their personal data; correct inaccuracies; delete their data; obtain a portable copy; opt out of targeted advertising and the sale of personal data; and appeal our response to any request. We do not sell personal data and do not engage in profiling that produces legal effects. To exercise any right or appeal a decision, email hello@docksofthebay.com with the subject line “VCDPA Request.” We will respond within 45 days.
7b. Data Retention
We retain personal data only as long as needed for the purposes it was collected. Maintenance Plan subscriber records are retained for the life of the subscription plus the tax and accounting retention period (currently 7 years). Bonus-request and discount-code records are retained for 24 months from creation or redemption, then either purged (unredeemed) or anonymized (redeemed). Phone-call recordings and transcripts are retained only as long as needed for quality and dispute resolution, typically under 24 months.
